A useful proposal starts with a consistent brief. Prepare the following details for each shortlisted supplier so you can compare scope, performance and support on the same basis.

Product & pack
Share product samples, pack drawings, material specifications and the full size range. Ask which change parts each format needs.

Line performance
Specify sustained output with your product, changeover time, reject handling and upstream or downstream interfaces. Agree how the line will be tested.

Operating costs
Ask for consumption of air, power and packaging material at the quoted rate, plus wear parts and preventive maintenance.

Installation & service
Confirm footprint, utilities, commissioning, operator training and the availability of local technicians and spare parts.
Build a focused shortlist
Start with the required process or equipment, then narrow by application and documented company locations. Save up to four suppliers and compare their profiles. An office location is a starting point: confirm who will deliver, install and support the work at your project site.
Ask for a proposal you can compare
Give every company the same drawings, operating conditions, quantities and schedule. Ask suppliers to identify assumptions and exclusions, separate one-time and recurring costs, and explain what evidence will demonstrate acceptance. Record unanswered questions before comparing prices.
Keep a decision record
Document the manufacturing site, responsible contacts, scope, milestones, acceptance criteria and ongoing support. Request current documentation for your project requirements directly from the supplier. Revisit the brief when design or operating conditions change.
